This policy explains what personal information we collect through anjomanrice.com, why we collect it, who we share it with and the rights you have over it under UK data protection law.
Who we are
This website is run by Anjoman Food, the business behind the Anjoman Rice brand, at 7 Insignia Park, Luton Road, Dunstable LU5 4LW. Anjoman Food is the controller of the personal information described in this policy, which means we decide how and why it is used.
For any question about this policy or your information, email us at info@anjomanrice.com, call us on +44 (0) 20 8961 9999 or write to us at the address above.
What we collect
When you send us an enquiry. The Contact and Become a Stockist forms ask for your name, email address and message, and let you add your company name (required for stockist enquiries) and phone number. When you press send, your enquiry is emailed to our team, and we send a short email to the address you gave to confirm that it has arrived. The same applies when you email or call us directly, apart from the confirmation email.
When you use the website. To stop the forms being misused, the website notes the IP address each enquiry comes from and how many enquiries it has sent. This is held in the server's memory for one hour and is not stored anywhere else. Like most websites, our web server may also record technical details of each visit, such as your IP address, browser type and the pages you request, to keep the site running and secure.
Analytics. We use Google Analytics to understand how visitors find and use the website, such as which pages are viewed, how long for, the type of device and browser used, the website you came from and your approximate location. Google Analytics does not give us your name or contact details. See “Cookies” below.
We do not sell personal information, we do not use it for automated decision-making, and the website does not take payments or offer accounts for visitors.
How we use it and our lawful basis
- To reply to your enquiry and keep a record of our conversation. Our lawful basis is our legitimate interest in answering the people who contact us.
- To consider a stockist or trade enquiry and, if we go ahead, to set up a trading relationship with you. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in developing our business.
- To keep the website secure and stop spam and misuse of the forms. Our lawful basis is our legitimate interest in protecting the website and our inbox.
- To measure and improve the website using Google Analytics. Our lawful basis is our legitimate interest in understanding how the website is used.
- To comply with the law, for example keeping business records or responding to a lawful request from a public authority.
Who we share it with
We only share personal information with service providers who help us run the website and our business, and only so they can provide that service to us:
- Contabo, which provides the server this website runs on.
- Resend, an email delivery service, which passes enquiries from the website's forms to our inbox and sends the email confirming that your enquiry has arrived.
- Microsoft and IONOS, which host our business email accounts.
- Google, which provides Google Analytics.
We may also share information if the law requires it, or with professional advisers such as our accountants and lawyers.
International transfers
Some of these providers are based outside the UK, including in the European Economic Area and the United States, so your information may be processed there. Where that happens we rely on the protections UK data protection law provides for, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum approved by the Information Commissioner.
How long we keep it
- Enquiries: for as long as we need them to deal with your enquiry and any follow-up conversation, after which we delete them. If an enquiry leads to a trading relationship, the related correspondence is kept for as long as that relationship lasts and afterwards for as long as the law requires us to keep business records.
- Form misuse checks: the IP address record is cleared after one hour.
- Analytics: Google keeps analytics data for the retention period set in our Google Analytics account, after which it is deleted automatically.
Cookies
Cookies are small files a website stores in your browser. Google Analytics sets two cookies, named _ga and _ga_ followed by an ID, which tell visits apart and by default expire after two years. They are only used for the analytics described above.
You can block or delete cookies in your browser's settings, or stop Google Analytics on every website by installing Google's opt-out browser add-on. The website works the same without them.
The only other cookie is a sign-in cookie used by the people who edit this website, which is never set for visitors.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to our use of your information where we rely on our legitimate interests;
- ask us to transfer information you gave us to you or another organisation.
Some of these rights only apply in certain circumstances. To use any of them, email us at info@anjomanrice.com. There is normally no charge, and we will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
